We do not routinely ask for detailed medical histories and we do not ask parents or guardians to provide personal information about children unless it is genuinely necessary for a specific service.
3. Why we use it and our lawful bases
Enquiries and bookings
We use contact and booking information to respond to you, reserve places, take payment, send confirmations, deliver courses and provide customer support. Our lawful bases are taking steps at your request and performing a contract.
Safety and accessibility
We use relevant information to make reasonable adjustments and support safe participation. Where this includes health information, we will use an appropriate UK GDPR condition, normally your explicit consent, unless another legal condition applies.
Accounts, legal duties and claims
We keep invoices, transaction records and necessary correspondence to meet tax, accounting, insurance and legal obligations and to establish or defend legal claims.
Improving our services
We may use limited enquiry, attendance and website information for service planning, security and performance measurement where this is necessary for our legitimate interests and does not override your rights.
Marketing
We send optional news, course dates and offers by email only where permitted by law. You can unsubscribe at any time. Service messages about an enquiry or booking are not marketing.
4. Payments
Payments may be processed by Stripe and Systeme.io or another payment provider identified at checkout. We do not normally see or store your complete payment-card details. Payment providers process information under their own security and privacy arrangements.
5. Who we share information with
We may share the minimum necessary information with trusted providers that support our website, email, bookings, payments, analytics, file storage and professional administration; with instructors or venues involved in delivering your booking; and with professional advisers, insurers, regulators or public authorities where required.
These organisations must handle information lawfully and securely. We do not sell or rent personal information.
6. International transfers
Some technology providers may process information outside the United Kingdom. Where this happens, we use providers and safeguards intended to protect the information, such as UK adequacy regulations or approved contractual protections.
7. How long we keep information
- General enquiries: normally up to 12 months after the last contact.
- Booking, payment and accounting records: normally six years after the relevant financial year, where required for tax and legal purposes.
- Routine attendance records: normally up to 24 months after the course, unless needed for an incident, complaint or legal claim.
- Accessibility or health information: only for as long as necessary for the event and normally deleted within 30 days afterwards, unless a longer period is required for an incident or legal reason.
- Marketing records: until you unsubscribe or we stop the list, with a minimal suppression record retained so we can respect your choice.
- Photography permissions: for the stated use until withdrawn, while recognising that material already lawfully printed or published may not always be fully recoverable.
8. Cookies and analytics
Our website uses essential technologies to operate. Optional analytics or advertising technologies should be used only in accordance with your choices. See our Cookie Policy for more information.
9. Your rights
Depending on the circumstances, you may ask us for access to your information, correction, deletion, restriction, portability or objection to certain uses. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing.
To exercise a right, email hello@oakmerelife.com. We may need to verify your identity.
10. Complaints
Please contact us first so we can try to resolve your concern. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or telephone 0303 123 1113.
11. Changes to this notice
We may update this notice when our services, providers or legal obligations change. The latest version will appear on this page with its revision date.
